I.   Welcome & Introductions - Monica Kurz and Colin Thomasset, Co-Chairs

II.  Establish Committee Meeting Schedule 

III. Event Date Changed to March 7, 2023 due to space requirements. 

a. First Floor State Capitol Reserved.

b. Ground Floor follow up with Kansas Historical Society


IV. Advocacy Training Discussion – host an in person event?  Collaborate with P3 and NAMI events? 

  • Ryan Reza led multiple NAMI Smarts online modules prior to 2022 event.
  • Past years featured an in-person all day advocacy training event at hotel facilities including double occupancy overnight accommodations for participants

V. Advocacy Day Structure and Schedule   (will we offer hybrid again?)

10:00 a.m. - 12:00 p.m.      Registration - Kansas State Capitol Visitor’s Center 

10:00 a.m. - 3:00 p.m.        Exhibits - 1st Floor Rotunda

11:00 a.m.                         House - 4th Floor Gallery - West Wing

12:00 p.m. - 1:00 p.m.        Lunch with Legislators - 1st Floor - North Wing

1:00 p.m.                           Rally - 1st Floor Rotunda

2:30 p.m.                           Senate - 4th Floor Gallery - East Wing


VI.    Committees - Establish Chairs to execute and provide future updates
A.  Sponsor/Grants Committee – ________________________.  Works with volunteers to reach out to sponsors beginning in October.   Please forward additional contacts and let us know if they have a specific process or form that we need to follow through.  Confirm the completion of sponsorship, invoice and receipt on website.

B.  Volunteer Committee – _________________________   Finds and Manages Volunteers (spreadsheet)
C.  Exhibit Committee – _________________ – Online registration set up.  Will invite past exhibitors first.  Have tables for up to 15 exhibitors in the rotunda.
D.  Marketing Committee – ______________________  Marketing materials may be updated from the most recent version rather than creating new.

  1. Develop printable flyer for posting at CMHC's, CRO's, and other sites –
  1. Develop step by step sheet to set appointments, with info on who to call for further help, to be sent to all registrants – “office hours”
  1. Develop list of media to receive press release
  1. Develop press release/media advisory prior to event and news release and media packets for day of the event
  1. Establish media contact person/day of event of position person
  1. Send press release
E.  Registration Committee – ________________________ - Strong leader with organizational and interpersonal skills required
  1. Handles registration process, communicates with registrants, manages registration on day of     
  1. Nametags - printing, assembly alphabetizing and organizing groups
  1. Printing for Packet: Summary of Legislative Issues, Follow Up Sample Thank You Letter, Participant Evaluation, Agenda, Capitol Map, KanCare UHC Brochure, Sponsor & Exhibitor List
  1. Packet folders, labels and assembly - small inventory of leftovers available
F.   Goodies Committee - ____________________________  Depending on predicted event income, provide decorated cookies, t-shirts, masks, buttons?
G.  Event Orientation and Issues Briefing – ____________________________
  1. Coordinates video production for advance publication and onsite
  1. Staff the briefing room and provide guidance
H.  Appointment Setter – _______________________  Assist registrants/attendees with making appointments with Legislators onsite and in advance of the event.
I.  Rally – _Amy and Mary_ - Manages rally including schedule, speeches, and speakers
J.  Lunch Committee – ________________________ - Manages lunch ordering and oversees lunch area, including checking off attendees
K.  Issue Paper Committee – ____________________ - Collect the issue papers as submitted, assemble amendments, manage formatting and publication.
